Universe Labs — WhatsApp test and app-support deletion requests

Effective 15 October 2026 • Updated 18 October 2026 • Manual restricted-test and app-support requests

1. How to ask

Email Brian Bradley at support@universe-labs.ai, or write to Privacy request, UNIVERSE LABS LTD, NI739102, 211 Antrim Road, Belfast, BT15 2GW, United Kingdom. Ask to delete some or all eligible information about your restricted WhatsApp test, reviewer evidence or app-administration/support interaction. This manual route is available to everyone covered by the companion privacy notice.

No special form, phrase or booking reference is required. Requests may be verbal or written to the business, and a representative may act with appropriate authority. Give the relevant WhatsApp number/app contact, approximate date, what you want deleted and a safe reply contact. Do not send passwords, verification codes, card details or an identity document initially. Extra identity information is requested only when there is reasonable doubt, and must be proportionate.

Universe Labs controls its restricted test/admin/support information. Belfast City Cabs Ltd remains responsible for its own booking records; live client booking records are not enabled by these isolated tests. Brian coordinates any client-record request with the responsible business rather than treating it as Universe's unrestricted data.

2. What happens next

Brian records receipt, scope and the response deadline, checks genuine identity/authority doubts, finds relevant information and copies, and coordinates authorised manual action. This can include approved retirement of the whole isolated pilot when appropriate, after outstanding work is settled and old processing cannot reactivate it. There is no automatic per-person deletion endpoint. Acknowledgement, conversation pause or completion of a demonstration is not deletion.

The owner-approved pilot rule deletes or irreversibly anonymises the isolated dataset seven days after permanent pilot closure AND settlement of pending/uncertain actions and related support cases. Eligible earlier requests are assessed when received and do not automatically wait for that trigger.

3. Copies and information that remains

The request assessment includes relevant messages/state, local office tickets/commands, review recordings/screenshots, technical reports, correspondence and identified copies under our control. For the later native Dispatch rehearsal it also covers Supabase test booking records and relevant history/idempotency/audit records. Cancellation is not deletion. The checked backup exclusions apply to the four original review paths; later test-session paths, Supabase backups and other/historical copies are not thereby verified. A copy that cannot immediately be removed must be restricted from further use while deletion/expiry is arranged; restoration must not reactivate information subject to a completed deletion/restriction decision.

Brian reports what was actually deleted, anonymised or restricted, any necessary retained information with its reason and review/end rule, and outstanding supplier/backup actions with their actual timing. Relevant recipients are informed where required. A technical gap alone is not a reason to dismiss the request. This includes existing administration/review copies supplied to OpenAI Codex or Anthropic Claude/Claude Code; our minimisation and pre-expansion review rules do not remove those copies from the request assessment.

Independent WhatsApp/provider account records and other people's device copies are outside a local business-wide purge. Brian uses applicable supplier/request routes for information within our responsibility. The Cloud API Terms and incorporated terms apply to the relevant Meta-held service information; local removal does not promise erasure of all Meta records.

4. Response time and complaints

We normally respond free of charge, without undue delay and within one calendar month. If a permitted extension is necessary for a complex request or multiple requests, we explain it within the initial period. We explain any necessary identity check, lawful refusal or fee. Minimum records may remain for a specific legal obligation or identified complaint/claim; we state the reason and review/end trigger.

If you disagree, contact Brian or complain to the Information Commissioner's Office: ICO complaints, 0303 123 1113. A refusal explains applicable complaint and judicial-remedy rights.

Effective date: 15 October 2026.
